The short version

1. Who we are

StayBotic Ltd ("we", "us", "StayBotic") operates staybotic.com. By using the service, you agree to these terms. If you don't agree, don't use the service.

2. What we do

StayBotic is a travel concierge that uses AI to recommend stays based on what you tell us. We connect you to accommodation suppliers (hotels, hosts, OTAs) and process bookings on their behalf. We don't own or operate the properties themselves.

3. Recommendations are guidance

Our AI suggestions are generated from real data — supplier inventory, area information, dates, your stated preferences. They are guidance, not guarantees. Quality, vibe, and on-the-ground conditions can vary. We continuously verify our recommendations and strip clear errors before sending, but you should still apply your own judgement.

We do not invent properties. If our AI ever names a property we don't actually have, that's a bug — please report it.

4. Bookings

When you book, we place a temporary hold (typically 15 minutes) while you complete payment. The booking confirms only after successful payment. You'll receive an email confirmation from us and, depending on the supplier, from them too.

The contract for the stay itself is between you and the accommodation provider. We're the booking agent. If a property is not as described or you have a problem on arrival, contact us first — we'll help mediate.

5. Pricing

All prices include the nightly rate and any disclosed service fees. Currency conversions shown are approximate and based on rates current at the time of display. The actual charge is in the property's listed currency, converted by your card issuer at their rate.

Taxes (city tax, VAT where applicable) may be charged at the property at check-in if not collected at booking. We disclose this where we know.

6. Cancellations and refunds

Your booking total has two parts: (a) the accommodation amount paid to the supplier and (b) the StayBotic service fee (shown as "Taxes & service fees" at checkout). They're treated differently on cancellation.

Accommodation amount. Refunds follow the property's cancellation policy, which is shown to you before you click Pay. Some properties are fully flexible up to 24-48 hours before check-in; others are partially or fully non-refundable. We pass on whatever the policy allows, in full.

StayBotic service fee. The service fee covers booking processing, payment fees, and our concierge support. It is non-refundable when you cancel a confirmed booking. This is disclosed at checkout next to the fee line and in your booking confirmation. We make exceptions when:

In any of those cases, contact us within 24 hours of becoming aware and we'll refund the fee in full along with the accommodation amount.

If a property is closed, double-booked, or misrepresented on arrival, contact us within 24 hours and we'll work with the supplier to fix it.

7. Your account

You must be at least 18 to book. You're responsible for keeping your account secure and providing accurate information. Don't share your account.

9. AI conversations

Conversations with the concierge are processed by AI models (currently OpenAI). The AI is designed to be helpful and honest but is not infallible. Don't rely on it for legal, medical, or safety-critical decisions outside of travel guidance. For acute distress or emergencies, contact a real human professional or emergency services.

10. Intellectual property

The platform, design, code, and content (excluding supplier listings and your own content) are owned by StayBotic Ltd. You may use the service personally; you may not copy, redistribute, or build derivative products without permission.

11. Liability

To the maximum extent permitted by law, StayBotic is not liable for: the conduct of accommodation providers, on-property conditions, indirect or consequential losses, or acts beyond our reasonable control (force majeure). Nothing in these terms limits liability for death, personal injury caused by negligence, or fraud.

For paid bookings, our maximum liability is limited to the amount you paid for the affected booking.

12. Privacy

Our Privacy Policy covers what we collect, how we use it, and your rights. By using the service you agree to those practices.

13. Changes

We may update these terms. Significant changes will be notified by email. Continued use after a change means you accept the update.

14. Governing law

These terms are governed by the laws of England & Wales. Disputes will be resolved in the courts of England & Wales.
