When someone asks “why this hotel?”, you already have the answer.

The brief

From messy brief to clear decision.

You shouldn't have to translate somebody else's half-written email into twelve hotel filters. Paste the request exactly as it arrived, or forward it to StayBotic. We identify the traveller, city, dates, meeting location, budget and preferences automatically.

  • If something genuinely matters and is missing, we ask one question at most
  • Everything else gets a sensible default

The decision

One hotel. And the case for choosing it.

StayBotic doesn't hand you another results page. It makes the call, and attaches the evidence. If the first choice isn't right, you get two useful alternatives: save money, and next best. No shortlist of twenty hotels pretending to be helpful.

  • Real journey time to the office or venue
  • Price against the actual budget
  • The traveller preferences it matches
  • Cancellation terms, and a clear policy verdict

The memory

It already knows how David travels.

The fifth request shouldn't start from zero. StayBotic keeps a separate profile for each traveller: quiet rooms, 4★ minimum, breakfast, loyalty programmes, preferred areas, typical budget, hotels they liked and hotels they never want again. Set it once and StayBotic carries it into the next trip.

  • The recommendation gets better without you repeating yourself
  • A booking site knows the hotel. It does not know your executive

The approval

Send it. Get the yes. Move on.

Send the recommendation straight to the traveller or approver. They open a clean mobile link and choose: approve, find something cheaper, or decline. No account required. Once approved, the trip is ready for booking with the details carried through.

  • StayBotic never charges anything without a human completing checkout
  • The decision trail stays clear: requester, traveller, recommendation, approval

Questions

What EAs ask us

Can I paste an email exactly as I received it?

Yes, that is the intended way to use it. Paste the request exactly as it arrived: 'David needs Frankfurt Tuesday. 9am at Deutsche Bank. Under £250. Quiet. Breakfast.' StayBotic works out the traveller, city, dates, meeting anchor, budget and preferences itself. If something genuinely matters and is missing, it asks one question at most; everything else gets a sensible default.

Can StayBotic remember each executive's preferences?

Yes. Each traveller has a profile: quiet rooms, star floor, breakfast, loyalty programmes, notes on what they like and what they never want again. You set it once and every future recommendation starts from it, so the third trip is sharper than the first.

Can I book on someone else's behalf?

Yes, that's the point. You stay the booker; the executive is the traveller. Their profile is stored once and applied to every trip, and the audit trail records booker, traveller and approver separately.

How does approval work?

You type the approver's email; they get a clean link that opens on their phone with the hotel, total, distance to the meeting and the policy verdict. One tap: approve, ask for a cheaper option, or decline, with an optional note. No login or account needed. You're emailed the decision with the next step attached.

What happens after approval?

You get a 'Complete the booking' link with the dates and guests prefilled. Checkout re-verifies the live rate and cancellation terms, a person completes payment, and you mark the trip booked to close its audit record. StayBotic never charges anything without a human completing checkout.

What does Executive cost?

Booking through StayBotic Executive costs nothing: no subscription, no booking fees, no card required. StayBotic earns the standard hotel margin on bookings, and never marks prices up for urgency or seniority. Executive Pro (about £99/month) adds the premium operation on top: advanced company policies, approval chains, proactive trip monitoring, central billing, reporting and priority support. You pay when you want StayBotic to run more of your travel operation, not to book through it.
