The problem

Nobody in your company wants to think about hotels.

Every business trip starts the same way: a vague brief, forty open tabs, a policy PDF nobody reads, and an hour lost choosing between hotels that all look the same. Booking sites give you inventory. Your team needs a decision.

  • “Best hotel within 10 minutes of the client, under £220, breakfast, flexible” — answered, not searched
  • Company policy applied automatically, with a clear in-policy / needs-approval verdict
  • One confident recommendation with the reasons spelled out — plus two labelled alternatives

How it works

Paste the request. Approve. Done.

StayBotic Business turns a messy trip brief into a completed, documented decision — the same concierge engine behind staybotic.com, wrapped in your company's rules.

  • 1 · Paste the brief — or just forward the email — and StayBotic extracts traveller, city, dates, meeting place and budget
  • 2 · It searches live availability, anchors stays to the meeting, and applies your policy deterministically
  • 3 · The approver gets a one-tap link on their phone: approve, ask for cheaper, or decline
  • 4 · On approval, the booking link is ready — live rate and cancellation terms re-verified at checkout

Policy, done properly

The AI interprets. The rules decide.

Set nightly caps, star floors, distance-to-meeting limits and an approval threshold once. Every recommendation carries a deterministic verdict — in policy, needs approval, or not allowed — so approvers can trust the label without re-checking the maths.

  • Nightly cap with a tolerance band (e.g. “within 10% needs approval, beyond that is out”)
  • Distance-to-meeting limits with real geocoded distances, not guesses
  • Traveller profiles: quiet rooms, breakfast, star floor, loyalty numbers — remembered every trip

For whoever signs it off

An audit chain finance will actually like.

Every trip records who requested it, who travels, what was recommended and why, who approved it and when — with cost centre and project code fields from day one.

  • Booker, traveller, approver and decision — all recorded per trip
  • Cost centre and project codes on every request
  • Booking completed by a human, so nothing is ever charged without sign-off

Questions

Everything an EA or finance lead asks us.

What exactly does StayBotic Business do?

You paste a trip request — the email, the message, the one-liner — and StayBotic extracts the traveller, city, dates, meeting place and budget, searches live hotel availability, applies your company's travel policy deterministically, and returns one recommended stay with the evidence (distance to the meeting, price against your cap, star rating, matched preferences), plus two labelled alternatives. Approval is one tap on the approver's phone; on approval a booking-ready link comes back.

Does the AI ever book or charge anything by itself?

No. Approval marks the trip approved and returns the checkout link — a person completes the booking, and the live rate and cancellation terms are re-verified at checkout before any payment. The AI decides and documents; a human pays.

How is the travel policy enforced?

By deterministic rules, not AI judgement. You set a nightly cap, star floor, distance-to-meeting limit and an approval tolerance once. Every recommendation carries a computed verdict — in policy, needs approval, or not allowed — with the arithmetic shown, so approvers can trust the label.

Is there an audit trail?

Every trip records the full chain: who requested it and when, what the AI understood, what was recommended and why, who it was sent to for approval, the decision with the approver's note and timestamp, and the final booking reference — with cost centre and project code fields.

How much does it cost?

The pilot is free for your first five bookings. After that, StayBotic Executive is £79/month for one assistant managing up to five executives, and StayBotic Business is £299/month for up to 50 active travellers. StayBotic also retains its normal hotel margin — and never inflates the room price because a request is urgent or the traveller is senior.

Who is it for?

Executive assistants, chiefs of staff, office managers and operations teams at companies of roughly 20–500 people — organisations where travel is frequent but there's no dedicated travel department, and where booking currently happens through email threads, spreadsheets and consumer booking sites.

Try it on your next real trip request.

The pilot is simple: send us your next five hotel requests, we handle them end to end, and you judge the time saved.
